Where to source suppliers for your fixed departure tours

Compare hotels, transporters, activity providers and DMCs using the same brief, complete landed costs and booking terms before committing to your next group.

A hotel contact, a transport quote and an activity operator are not yet a reliable supply chain. A fixed departure needs suppliers who can deliver the same agreed service on a specific date, even when your final headcount changes.

Begin with a written buying brief. It will save more confusion than asking ten suppliers for “your best group rate.”

Choose sourcing channels by what you need

For a familiar destination, approach hotels, local transport operators and activity providers directly using their official contact details. Ask operators you trust for introductions, then verify the business independently. Trade events, destination tourism directories and accommodation associations can help build a shortlist; a listing alone is not proof of service quality.

For an unfamiliar route, consider a destination management company that can coordinate several services. Ask exactly which services it operates itself and which it subcontracts. Compare its full proposal with the staff time and coordination you would need when contracting suppliers separately.

Use current written quotes rather than remembered rates from a previous season. This guide deliberately names sourcing channels rather than claiming one vendor is the cheapest or best.

Send the same brief to every shortlisted supplier

Specify dates, route, arrival and departure times, group-size scenarios, room mix, meals, vehicle capacity, luggage needs and expected guide support. Request the currency, tax basis, validity date, payment schedule, cancellation schedule and last date to release unsold inventory.

For hotels, request adult sharing, single occupancy, extra-bed and child policies separately. For transport, request minimum billed distance, driver allowance, tolls, parking, permits and extra-hour treatment. For activities, ask about age restrictions, equipment, transfers and operating conditions.

Compare the total, not the first number

An illustrative hotel quote of ₹3,800 plus ₹500 breakfast per room costs ₹4,300 on that basis. Another quote at ₹4,100 with the same breakfast is lower by ₹200 per room-night, assuming identical tax treatment and inclusions. Across ten rooms for three nights, that is ₹6,000.

Do not select the second quote on arithmetic alone. Compare room availability, location, payment terms, service standards and the consequences of a cancelled batch. A refundable hold can be commercially different from an immediate non-refundable commitment.

Verify before paying an advance

Confirm the supplier's legal business identity, authorised contact and payment beneficiary through independently obtained details. Ask for a written confirmation that refers to your exact dates and service specification. Check recent references relevant to groups of your size.

For transport and activities, request the operating documentation and safety information applicable to the service. Have your operations lead assess suitability, accessibility and contingency arrangements. A cheap quote does not answer those questions.

Keep a primary and a practical backup

A backup supplier must know the dates and required capacity. Save the price difference and the point at which you would need to act. Add plausible replacement costs to your scenario review rather than pretending every booking will proceed exactly as planned.
