Every visa file starts the same way for most agencies: you retype a country's document list into a WhatsApp message, half-remembering what got a file rejected last time. A visa document checklist for clients that you can paste in under a minute, for the six destinations Indian operators sell most, fixes that for good.

This is the client-facing artifact, not a strategy piece: six ready-to-forward checklists (UAE, Thailand, Singapore, Schengen, US B1/B2, UK), a tracker to run per client, and the fields that actually cause rejections. Requirements change often, so treat every list below as current for July 2026 and confirm with VFS, the consulate, or your visa agent before you send it out.

How to use these checklists

Copy the fenced block for the destination, drop in the client's name and travel dates, and paste it into WhatsApp. Keep a printed copy at the counter too, so clients dropping off physical documents can tick items off in front of you.

None of these cover special cases: minors with one parent, students, or business visas need extra letters (NOC, sponsor, invitation). Pair this with the visa letter formats for cover, sponsor, NOC and invitation letters.

UAE (Dubai) tourist visa

This is the visa checklist format travel agents send most often, since UAE is the single biggest outbound corridor for Indian agencies. Dubai visa documents required list formats vary a little between visa types (30-day, 60-day, transit), so confirm which one applies before sending this.

DUBAI/UAE TOURIST VISA: DOCUMENTS NEEDED

1. Passport, original, minimum 6 months validity from travel date,
   minimum 2 blank pages, clear scan of the photo page.
2. Passport-size photograph, white background, recent (within 3 months).
3. Return flight booking (we'll confirm if this is needed upfront
   for your visa type).
4. Hotel booking confirmation for the full stay.
5. Bank statement, last 3 months, bank-stamped and signed, not a
   PDF download.
6. Aadhaar and PAN card copies.
7. Salaried: employment letter/ID copy. Self-employed: GST
   certificate or ITR copy.
8. Visa fee (amount confirmed at filing, this changes).

Send scans as one PDF per document, named with your name and
document type.

Thailand tourist visa

Send scans only, one PDF per document. No WhatsApp photos of
documents.

Flagged: hotel bookings that cover only part of the stay, and photos taken years ago that no longer resemble the traveller.

Singapore tourist visa

SINGAPORE TOURIST VISA: DOCUMENTS NEEDED

2. Passport-size photograph, white background, matte, recent.
3. Signed visa application form (we will send this).

7. Cover letter (business or personal, we can draft).
8. Group file: a covering letter from the group organiser listing
   all travellers together.

Filing usually needs the original passport handed over through
the agent, not just scans.

Flagged: in group files, keep every traveller's cover letter consistent on dates and purpose. Mismatched stories are a common rejection trigger.

Schengen visa

Schengen is the strictest of the six on paper matching. Passport details must match exactly across the application form, flight and hotel bookings, insurance policy, and cover letter; a middle name dropped on one document and present on another is a common, avoidable rejection reason. This is the format most operators mean when they search for a schengen visa checklist to send client after a rejected file.

SCHENGEN VISA: DOCUMENTS NEEDED

   Schengen area for the full trip duration.
5. Confirmed round-trip flight reservation.
6. Confirmed hotel bookings for every night of the trip.
7. Detailed day-wise itinerary.
8. Bank statement, last 3 months, bank-stamped and signed.
9. ITR, last 2 years (acknowledgement copies acceptable at most
   consulates).
10. Employment letter (salaried) or business registration and ITR
    (self-employed).
11. Cover letter stating purpose and full plan of the trip.
12. Visa fee (confirmed at filing, varies by applicant age).

CHECK BEFORE SENDING: name, date of birth and passport number must
read identically on this form, the flight PNR, the hotel booking,
and the insurance certificate.

Careful: Schengen specifically requires travel insurance of at least EUR 30,000 and photos sized 35x45mm taken within the past 6 months, both checked at the counter. Reusing an old photo or a domestic travel policy that doesn't meet the cover minimum is an easy, avoidable rejection.

US B1/B2 visa

The US file is unusual: most of it happens online before any paper changes hands, and the interview is non-negotiable for first-time applicants.

US B1/B2 VISA: DOCUMENTS NEEDED

   at least 1 blank page.
2. DS-160 confirmation page (we will help you file this online
   and print the confirmation).
3. Visa appointment confirmation letter.
4. Passport-size photograph as per DS-160 upload spec (keep a
   printed copy for the interview).
5. Bank statement, last 6 months, bank-stamped.
6. ITR, last 2 to 3 years.
7. Employment letter or business proof, and proof of ties to
   India if asked at interview.
8. Any past US visa, with the original passport it's stamped in.
9. Visa fee receipt (paid before the appointment is scheduled).

Note: flight and hotel bookings are NOT required before the
interview. Do not buy tickets until the visa is stamped.

Flagged: clients who buy non-refundable flights before the interview, hoping it shows intent, then lose the money on a rejection. Tell them not to.

UK visitor visa

UK VISITOR VISA: DOCUMENTS NEEDED

   pages for the visa vignette.
2. Online application form printout (confirmation page).
3. Passport-size photograph, as per the online upload spec.

6. Employment letter (salaried) or business registration and ITR
   (self-employed).
7. Cover letter with day-wise travel plan.
8. Hotel bookings and return flight (supporting, strengthens the
   file even where not strictly mandatory).
9. Biometric appointment confirmation at the visa centre.
10. Visa fee receipt.

Bring originals for the biometric appointment; scans alone are
not enough for this one.
