One WhatsApp number, five staff: how to share it safely

Now you've got five staff, one number, and a Tuesday where a client asks "kal wala message kisne bheja tha" and nobody can say for sure. WhatsApp Business number sharing looks like a five-minute problem. It isn't, because the free app was never built for a team.
Most operators handle this by handing the phone around or linking everyone's device to the same account, and it works until two staff reply to one enquiry with different quotes, or a client's history vanishes the day the salesperson who handled them quits. That's not a glitch. It's the app doing exactly what it was designed to do: give one identity to one number.

What linked devices actually share, and what they don't
The WhatsApp Business app's "multiple users" feature is a device limit, not a team feature. It logs the same account into a capped number of companion phones or computers at once, and every device sees the identical inbox: same chats, contacts and read receipts. There's no "assign this chat to Priya," no way to see who replied, and no log of who deleted a message. Remove a device, or have a staffer leave, and they simply lose access; nothing records what happened while they had it.
The cap is commonly reported as up to four linked devices (as of August 2026), with companion-phone mode sometimes allowing up to five extra Android phones or four iPhones (Wikipedia, summarizing Meta's rollout). Meta has changed this before: check Settings > Linked Devices before planning staffing around it.
Option 1: Linked devices for two or three people
Linked devices are free and take five minutes: WhatsApp Business on the primary phone, WhatsApp Web or the companion app on each other device, scan the QR code, done. For a two- or three-person desk, this is the honest starting point, not a workaround.
It breaks visibly once a third or fourth person joins. Say your Kashmir desk gets an enquiry at 11 am: two staff are logged in, both see it unread, and both reply because neither knows the other has. The client gets two different quotes inside the hour. There's no setting that prevents this; it's a structural gap, not a bug.
Option 2: A second WhatsApp number per salesperson
The second route: give every salesperson their own number, SIM or eSIM, and registration. WhatsApp's Terms of Service require every account to register with a current mobile number (WhatsApp Terms of Service), the legitimate way to give each staffer a separate identity.
It fixes ownership instantly, no accidental double-reply, but breaks control on your side: the client relationship now lives on that staff member's own SIM, not a number the agency owns, with no easy way for the owner to see all five inboxes at once. Option 3: A multi-agent inbox on the WhatsApp Business Platform
The third route keeps one client-facing number and gives every staff member their own login into it, with chats assignable and history exportable. This isn't a switch inside the free app: it runs on the WhatsApp Business Platform (the paid API) through a Meta-authorized provider that builds the assignment, routing and history layer on top of Meta's infrastructure. Meta's own product page for the Business Platform describes automated flows and "smart routing... to live agent support," then points businesses to its partner directory rather than shipping a team inbox itself (WhatsApp Business Platform, Meta); the inbox tool you'd use comes from a provider on that list, often the same route agencies use for the green tick verification badge.
This is the only option with one number, assigned chats, and history that survives a staff exit, and it isn't free. Since 1 July 2025, the Business Platform bills per delivered message, not per open conversation: marketing, utility and authentication templates are charged on delivery, while ordinary service replies inside an open customer-service window stay free (Meta for Developers, WhatsApp Business Platform pricing). A Free Entry Point exemption also keeps a conversation free for 72 hours when the customer starts it from an ad or a "message us" button. Meta is opening INR billing to eligible India businesses from 1 January 2026, mandatory by 31 December 2026 (same source); per-message rates vary by provider, so get a current rate card before budgeting off a number seen online.

The ban trap: mods and scraper tools are the fastest way to lose the number
Unofficial "multi-user WhatsApp" apps and scraper-based inbox tools promise the Option 3 outcome for free. They deliver a ban instead. WhatsApp's Terms of Service prohibit making its services available over a network for multiple devices at once, except as WhatsApp authorizes (WhatsApp Terms of Service). The same terms ban creating software that functions substantially like WhatsApp and offering it to third parties (what GB WhatsApp-style clients do), and separately ban bulk messaging, auto-dialing and scraping, exactly how "multi-agent inbox" scraper tools pull your chat data.
Careful: WhatsApp can disable or suspend an account for a Terms violation, and once suspended, you agree not to create another account without its permission (same Terms of Service). That can mean losing the number your clients already know, permanently, with no way back on.

The handover SOP a two-person team can run today
You don't need a paid platform to stop the double-reply problem, just one rule, applied consistently, whichever option you're on.
- Claim before you reply. The first person to pick up an enquiry posts a one-line note in your team chat, not on WhatsApp: "Taking the Ladakh enquiry from +91XXXXX." Nobody else replies until it's marked handed off.
- Reassign visibly. When ownership moves, the new owner posts the handover with the last quote given and the balance still owed.
- On exit day, lock it down first. The moment staff resigns: remove their device (Option 1), deactivate their number (Option 2), or revoke their login (Option 3). Then export every active chat they were handling.
- Brief the client once. A short "I'll be handling your Bali trip from here" from the new owner beats the client finding out mid-conversation.
Step 3's difficulty depends on the option: a two-tap removal on linked devices, entirely dependent on goodwill on per-staffer numbers, the reason Option 2 weakens fastest past three or four people.
