Run these six checks before you issue any international ticket and you catch almost everything that costs an agent a reissue fee or a client's boarding pass at the counter.
The six-month validity rule, and where it's enforced harder
Most airlines and immigration counters expect a passport valid at least six months beyond the return date, enforced by the destination's own entry system, not Indian law. Agents commonly cite the UAE, Thailand, Indonesia and the Schengen states as where it bites hardest.
As of August 2026, don't work this from memory: return date plus six months, read off the passport, then confirm the current rule for that destination before you ticket.
Blank visa pages: how many your client actually needs
A passport with eight months of validity can still be unusable if it has no room for a visa sticker or entry stamp. Once a booklet runs out of blank pages, the client needs a fresh passport regardless of remaining validity. Treat two facing pages as the working minimum, but confirm the exact requirement with the specific embassy. Indian passports come as a standard 36-page booklet or a 60-page version for frequent travellers (Wikipedia: Indian passport); steer regulars toward the 60-page book at their next renewal.
Name and spelling: passport, PNR and visa must match exactly
The name on the airline PNR has to match the passport's machine-readable zone letter for letter, including how initials or expanded names are written, and the visa name has to match too, since it's issued against that exact passport. Two usual causes of a mismatch: an agent typing the name from memory, and booking software autofilling a name from a previous, incorrectly-spelled booking.
Some Indian passports carry no surname field at all, so airlines and GDS systems file the name their own way, commonly repeating the given name in both fields, though that's reported practice, not a documented rule. Confirm the split at booking time, not after the ticket is issued.
Date of birth and passport number: the transposition trap
A single flipped digit in the date of birth or passport number fails an automated check even when the name looks correct, usually because the booking was entered from a photo and a 3 became an 8. The fix: read every digit aloud against the physical passport, not the scan in your inbox.
Physical damage: what immigration treats as an invalid passport
A passport with torn pages, water damage, a peeling photo page or a damaged chip can be rejected even with a valid visa. Look for:
- Torn or missing pages, anywhere in the booklet
- Water damage blurring the machine-readable zone on the photo page
- A photo page lifting, peeling or delaminating
- A cracked or visibly damaged chip on a chip-enabled booklet
Careful: None of these are worth carrying into a booking on the hope that it clears. Flag it for reissue before travel, not a gamble at the counter.
An old passport with a live visa: what to carry to the airport
A client's multi-entry US or UK visa doesn't move when the passport it's stamped in gets renewed; it stays valid in the old booklet on its own expiry date. So a client on a fresh passport with a visa still live in the old one has to carry both to the airport. Confirm the visa's window, and that the client has been told, in writing, to do that.
ECR and ECNR: what they mean for a leisure booking
ECR (Emigration Check Required) and ECNR (Emigration Check Not Required) describe whether a passport holder needs MEA clearance before travelling abroad for work, via the eMigrate portal and the Protector of Emigrants (Ministry of External Affairs: Emigration Service). A genuine holiday on a tourist visa doesn't trigger it, whatever the passport's ECR page says. As of August 2026, the 18 notified countries are UAE, Saudi Arabia, Qatar, Oman, Kuwait, Bahrain, Malaysia, Libya, Jordan, Yemen, Sudan, Afghanistan, Indonesia, Syria, Lebanon, Thailand, Iraq and South Sudan (Passport Agents: What is ECR), a list revised periodically, so confirm before ticketing anything that looks like employment travel.
The real exposure isn't the notation. It's a client who books a "holiday" to the Gulf that's actually a job, filed as tourism to skip the paperwork: one-way intent, a job mentioned in passing, a destination on the list. Ask directly. Travelling on employment terms without clearance can mean detention, deportation or a future travel ban, and the agency that issued the ticket is usually the first call.
The pre-ticketing checklist, and the message to send at T-45
