How to price the same tour item for different group sizes
Model coach upgrades, hotel brackets and guide costs by group size so a growing departure does not quietly cross into a lower-margin pricing tier.
Jökulsárlón · 21:30More bookings do not always improve a departure's margin smoothly. The seventeenth traveller might require a larger coach, an extra guide or another room. That additional sale can trigger a cost jump across the whole group.
A useful pricing plan therefore needs more than a per-person cost multiplied by headcount.
Separate sharing from a genuine supplier rate change
A ₹48,000 coach shared by twelve paying travellers costs ₹4,000 per person. The same coach shared by sixteen costs ₹3,000 per person. The supplier has not reduced the rate; you are sharing the same group cost more widely.
Now suppose a larger vehicle costs ₹70,000 for seventeen to twenty-four travellers. At seventeen, transport costs about ₹4,118 per person. All numbers here are illustrative and assume the stated capacities are usable after allowing for staff and luggage.
| Group size | Coach total | Coach cost per paying traveller |
|---|---|---|
| 12 | ₹48,000 | ₹4,000 |
| 16 | ₹48,000 | ₹3,000 |
| 17 | ₹70,000 | ₹4,117.65 |
| 24 | ₹70,000 | ₹2,916.67 |
The cost curve jumps. A straight-line forecast misses that jump.
Ask suppliers for explicit brackets
Write each bracket in words: “up to sixteen passengers,” “seventeen to twenty-four,” and so on. Record whether the quoted amount is a group total or a per-person amount. Hotels may offer a rate conditional on a minimum number of rooms; an activity provider may quote a flat private-session fee.
Do not infer rates for sizes the supplier has not quoted. The low end needs particular attention: a quote negotiated for sixteen people may not apply to eight. Confirm what happens above the highest bracket as well.
Test both sides of every threshold
For a sixteen-person vehicle bracket, test fifteen, sixteen and seventeen. Add hotel room counts and any additional guide requirements. A seventeenth booking contributes its selling price but may add more cost than one person's meals and activities.
Suppose that booking adds ₹22,000 in vehicle cost and ₹8,000 in other direct costs while bringing in ₹15,000. The departure's surplus falls by ₹15,000 at that step. Later bookings may recover the difference, but accepting the booking is now a commercial decision.
Keep selling tiers separate from supplier tiers
You may choose a stable advertised fare across several headcounts or a different published package offer for a different group arrangement. That is a selling decision. A supplier's bracket does not automatically authorise changing a price already confirmed to a customer.
Save the approved selling version and explain the assumptions to sales. If capacity changes during sales, recalculate the departure and decide how to handle future bookings under your agreed terms.
Put the thresholds into the working plan
Tourify supports group-size tiers on cost and selling lines and margin comparisons at selected headcounts. Use the supplier's actual brackets and review warnings for unquoted sizes. A software calculation is only as reliable as the units and brackets entered.
Next, check room occupancy and supplements. Vehicle thresholds are often obvious; the unpaired hotel room is easier to miss.
