Room occupancy and single supplements for fixed departures

Calculate room counts, odd group sizes and single supplements from actual accommodation costs so your twin-sharing fare holds up when the rooming list changes.

Twin-sharing pricing works neatly with an even number of compatible room sharers. Real rooming lists contain solo customers, families, requested singles and people who cannot be paired together.

Cost the rooms you must buy before dividing accommodation into a per-person fare.

Count occupied rooms, not theoretical pairs

Suppose a room costs ₹4,000 per night and the tour needs three nights. These are teaching figures with identical room rates and no tax differences.

The thirteenth traveller adds an entire room in this simplified example. Whether that traveller pays a supplement depends on your offer and their booking choice. The supplier cost exists either way.

Calculate the supplement as an incremental cost

If the base fare includes half of a ₹4,000 room, one traveller's included accommodation cost is ₹2,000 per night. If a single room costs the same ₹4,000, the incremental cost is ₹2,000 per night, or ₹6,000 for three nights.

At a 20% target margin on that incremental cost, the supplement would be ₹7,500 before excluded taxes and fees. This is an example, not a standard supplement. Use the hotel's actual single-occupancy quote; it may differ from the twin-room rate.

Do not charge the entire room cost again when the base package already includes a share of it.

Distinguish a requested single from an unpaired traveller

A customer who buys single occupancy has chosen a different service. A customer who bought a sharing package but cannot be paired raises a different commercial question. Establish the sharing policy and explain it before taking the booking.

Keep supplier cancellation and room-release deadlines visible. The team needs time to resolve unpaired travellers while room inventory can still be adjusted. Do not rely on finding a roommate after the final hotel commitment.

Treat family configurations separately

Ask whether an extra bed is permitted, what it costs and whether breakfast is included. Verify maximum occupancy and how child ages affect it. Two adults and two children may require a different arrangement from the one implied by a simple “child without bed” fare.

Save the accommodation requirement against the booking, then aggregate it into the rooming list. That avoids a cost plan based on one family arrangement and an operations request based on another.

Reconcile before the hotel deadline

Compare planned rooms, booked room requirements, supplier-confirmed rooms and the final bill. Investigate differences before treating them as overspend: an approved single-room upgrade should have corresponding revenue or an explicit subsidy decision.
