From replies to a rooming list
The spreadsheet uses the same column names as the rooming list generator, so a filled sheet pastes straight in and the rooms pair themselves. Your own questions become extra columns at the end, which the rooming tool skips.
What details should a travel agent collect from travellers?
For domestic trips: full name, gender, date of birth, phone, meal preference and an emergency contact. For international trips add passport number, issue and expiry dates, nationality, and PAN for TCS on overseas packages. Collect only what your bookings need.
Why must names match the passport exactly?
Airlines and visa systems check the ticket and visa name against the passport. A spelling or order mismatch can mean a name-change fee or being refused at check-in.
How long should a passport be valid for international travel?
Many countries ask for at least six months of validity beyond your return date, and some ask for blank pages too. Check each destination's rule before booking.
How do I turn the filled form into a rooming list?
Download the spreadsheet template, fill one row per traveller, then paste the rows into the free rooming list generator. The column names match.
Is it safe to collect passport details on WhatsApp?
WhatsApp chats are end-to-end encrypted, but the photos and messages stay on every phone in the chat. Ask travellers to send details to one person, not a group, and delete what you no longer need.
Does this tool see my travellers' details?
No. It only makes blank forms, messages and sheets, and it runs in your browser. Travellers send their details to you, not to Tourify.
