How the refund is worked out
The day count runs from the date the written cancellation reaches you to the departure date, in calendar days, and the slab for that day sets the charge: a percent of the trip cost before GST, or a fixed amount. Costs you have already paid and cannot recover either replace the slab charge when they are higher or are added to it, and the charge never goes above the trip cost.
GST on the charge is at the booking's own rate, and GST on your own fee is 18%. The refund is what the client paid minus everything retained. Questions operators ask
How are tour cancellation charges usually worked out?
By the number of days between the date you receive the cancellation in writing and the departure date. Each slab retains a percent of the trip cost, and more is retained the closer the cancellation is to departure.
Is GST charged on a cancellation charge?
Yes. GST on a retained cancellation charge is at the same rate as the original booking, for example 5% on a 5% tour package. A separate cancellation fee you charge for your own service is 18%.
What about costs that cannot be refunded?
Air tickets, visa fees, insurance and permits already paid are often lost whenever the client cancels. Enter them and choose whether your slab charge covers them or they are added on top. The charge never goes above the trip cost.
Does this work for service-fee bookings?
No. It is built for package bookings you sell as principal. When you only earn a service fee, amounts you paid to third parties on the client's authorisation and recover at actual cost are usually not part of your taxable value, so check with your CA before treating a forfeit of those as your cancellation charge.
Is the TCS refunded?
This calculator keeps TCS out of the refund and shows it on its own line. TCS isn't an extra cost. It's income tax paid in advance in the traveller's name, against their PAN. They can set it off against their income tax or get it refunded when they file their return. Check with your CA before reversing it.
What if the cancellation arrives on a Sunday?
Many booking terms count it from the next working day. The calculator moves a Sunday to the Monday when that option is on; public holidays are your call.

No. The default slabs are an example. Use the slabs in your own booking terms.
