How it works

  1. Enter the trip, your planned paying travellers and how you charge GST.
  2. Add each cost as per person, per group or per room per night.
  3. Choose a markup, margin or fixed profit, and set child and infant fares.
  4. Copy the fare card, save it as a PDF or download the Excel sheet.

How the fare card is worked out

Per-person costs count once for each traveller. Per-group costs such as the coach or tour manager are added up and divided once by the paying travellers. Room costs are taken per room for their nights, then split two ways for twin sharing, three ways for triple and not at all for a single room. A foreign-currency line uses your rate plus the buffer at full precision, and a line with no rate stays out of every total.

Your profit goes on the cost before GST, the round-up applies to that price, and GST is added on top. For trips outside India, TCS is then worked out on the price including GST. To see TCS on each payment, use the TCS calculator for overseas packages; to find how many travellers you need, use the break-even calculator.

For the thinking behind the numbers, read the tour costing sheet, rebuilt for 2026, child rates, single supplements and the extra bed maths and quoting hotel meal plans.

Questions operators ask

How do I calculate a tour package cost per person?

Add the per-person costs, divide whole-group costs such as the coach, guide or tour manager by the number of paying travellers, and add the traveller's share of the hotel room: half a room for twin sharing, a third for triple, a full room for single. Then add your markup and GST.

What is a single supplement?

The extra a traveller pays to have a room alone. It is the difference between a full room and a half room for each night, plus your markup on that difference.

Should I use supplier prices with or without GST?

On the 5% package rate, use supplier prices including their GST, because you cannot claim that GST back. On 18%, use prices before GST if you can claim the credit for them. If your business also bills 18% services, ask your CA about reversing credit on shared costs.

Which exchange rate should I use for foreign-currency costs?

The rate you expect to pay your supplier. The tool can fill in today's indicative mid-market rate, which is not a bank rate, and you can add a buffer on top. A line with no rate is left out of the total and flagged, never counted at 1 to 1.

How do I price a child with or without a bed?

Set each as a percent of the adult twin-sharing price or as a fixed amount, following your own child policy. Leave a field blank if you don't offer that fare.

Why does the fare card add TCS for trips outside India?

TCS: 2% of every payment you receive for an overseas tour package (from 1 April 2026). No minimum amount. If your customer doesn't give a PAN, TCS is 5%. This tool uses the amount including GST. GST is not charged on TCS. TCS isn't an extra cost. It's income tax paid in advance in the traveller's name, against their PAN. They can set it off against their income tax or get it refunded when they file their return.

General guidance based on GST rates notified from 22 Sep 2025 and income-tax rules for FY 2026-27, last reviewed 17 Oct 2026. Not tax advice; confirm with your CA.
